Keep one admin account active on every system.Without an admin, access is often gone for good.
Collect final data deliverables from every CRO.This is the data most often scattered across contracts.
Keep backups of servers and laptops that hold raw data.Until someone confirms what is worth keeping.

Checklist

Check each system that holds program data.

ELN and LIMSKeep the subscription active. Ask before downgrading, since cheaper plans can limit older data.
Instrument dataPlate readers, sequencers, mass spec, imaging. Raw files often live on local machines, not the cloud.
Regulatory systemsVeeva Vault or wherever submissions and FDA correspondence live.
Shared drivesGoogle Drive, SharePoint, Box. Check for files owned by departing employees.
CRO portalsList every CRO, its contract end date, and whether final data has been delivered.
Sample and inventory recordsWhat exists and where, even if samples are disposed of.

Name one owner.

Name one person to own data readiness, usually the COO or head of IT, working with your counsel. Data goes missing when everyone assumes someone else has it.

Value

What preserved data can do.

Some records may need to be kept for regulatory or legal reasons; check with counsel. Beyond that, organized data can be licensed to AI labs, and you keep ownership.
